Refunds Policy

City College Dublin

Whereas the college understands that unforeseen circumstances may compel a student to withdraw from a course, students should understand that the college makes decisions as to resource levels for a course (including teaching resources) based upon the number of students who register for it at the commencement of the course.

The college accepts no obligation to refund any fee or part of any fee paid in respect of any programme or service provided by the college.

Under no circumstances will the college refund the deposit, or any part of the deposit paid in respect of a students’ registration for a programme, save in the event that the college is unable to run the course registered for.

Please note that City College College reserves the right to cancel or re-schedule any course at any time. In the unlikely event of cancellation your deposit/fees will be refunded. City College Dublin also reserves the right to re-schedule the start dates of all courses.

(Applies to domestic students ONLY), International students should refer to the Refund Policy below relevant for International learners.

Deposits: All deposits are non-refundable.

In the event where the student wishes to cancel an enrolment, notice of cancellation must be provided in writing and applies from the date it is received by City College Dublin at [email protected]

Important: To avoid issues in dealing with multiple banks, refunds can only be paid into an account where the name of the individual or business matches the name of the individual or business associated with the IBAN provided.

Deferrals/Cancellations:

The Student may (unless studying on a student visa) no later than two weeks prior to the commencement of the Programme cancel his or her acceptance by providing City College Dublin with written notice. If the Student so cancels their study, the Student’s liability to City College Dublin will be limited to payment to the College of a cancellation fee of €150 which may be deducted from any applicable refund. Any refund made by City College Dublin will be made to the original payer. Full course fees will be payable if less than two weeks’ notice is given, and no refund will be made in such circumstances. Refunds are not available of any amounts paid for study materials, where the materials have been supplied to the Student.

The Student may (unless studying on a student visa) defer enrolment in the Programme for one academic year, provided City College Dublin receives written notice at least two weeks prior to the Programme commencement date (the “Date of Deferment”) and the Student pays a €50 administrative fee at the discretion of the college. The fees or any deposit paid by the Student will not be refunded but will be carried forward to the following academic year. Should the College fees change between the Date of Deferment and the date of commencement of the following academic year the Student will be liable to City College Dublin for any additional amount due and must pay it before the commencement of such academic year. Where an applicant has deferred their place on a programme and subsequently does not start the programme on a following intake the fees are not refundable or transferable and will be held in credit to be used by the applicant.

International Students & Higher Education Programmes

For International students residing overseas course fees will only be refunded in the event of an evidenced visa refusal.

  • In the event of a visa refusal: The applicant or their nominated educational consultant should notify the college by e-mail of the visa refusal and submit any supporting documentation necessary.
  • A member of the Admissions team may ask if the applicant wishes to appeal the decision. If yes, the refund process commences if the appeal is then unsuccessful. If the applicant chooses not to appeal the decision then they proceed immediately to the refund process below.
  • Once confirmation of the visa refusal has been received we will then issue the applicant with a refund request form and ask that they complete and return to us along with proof of bank details for any approved refund so that we can complete the refund in a timely manner

Supporting documentation – A facility exists to attach the relevant document:

(i) Visa refusal letter.

Or

(ii) In the case of a visa refusal due to incomplete documentation in the application, an official email from the relevant Irish Embassy is required to process the refund. Photos of emails are not acceptable for processing refunds.

  • City College Dublin may need to verify the veracity of documentation submitted.
  • Payment of refund – As per ILEP regulations, Section 4: Provider Track Record and Governance, sub-section 12

“In the case of a visa refusal or refusal of entry into Ireland, the fees, less any pre-indicated handling charge, must be returned to the student within 20 working days of the request being communicated to the provider.”

  • Please note the refund process only commences once the college is in receipt of all documentation listed above and verified, if necessary.

For International Students already resident in Ireland, fees will not be refunded under any circumstances after commencement of the course and/or the issuance of an acceptance letter permitting the applicant to renew/extend their visa permissions to remain in Ireland. Where a visa is required to be renewed during the City College Dublin programme of study it is the responsibility of the student to check with the relevant authorities that the renewal application will be approved.


Accommodation 

City College Dublin (CCD) works with carefully selected accommodation partners to offer students a range of high-quality housing options. Homestay accommodation is arranged through our trusted accommodation partner, FamWorld, while student residence accommodation is provided through independent residence partners, including options such as Brickworks (Mezzino), conveniently located just a few minutes’ walk from the College.

City College Dublin does not own or operate accommodation facilities. The College acts as an accommodation arranger and will make every reasonable effort to secure suitable accommodation based on the student’s preferences and availability. All accommodation is subject to the terms and conditions of the relevant accommodation provider.

Accommodation Bookings

Accommodation is subject to availability. While City College Dublin (CCD) will make every reasonable effort to provide your preferred accommodation option, your first choice may not always be available.
To confirm your accommodation booking, students must:
Accommodation providers may require students to comply with additional house rules, licence conditions or residence regulations specific to the accommodation. By accepting accommodation arranged by the College, students agree to comply with these rules in addition to these Terms and Conditions.

Changes to Arrival or Departure Dates

Changes to arrival or departure dates must be requested in advance and are subject to approval. Additional charges may apply.
For Residence accommodation, arrivals are normally accepted on Sundays only unless otherwise agreed with the College.
Accommodation Refunds

Once a student has arrived in Ireland, accommodation fees are non-refundable.

Homestay Accommodation

Residence Accommodation

Residence accommodation is managed by independent accommodation providers. Refunds, cancellations, amendments, check-in requirements, house rules and occupancy conditions are subject to the terms and conditions of the relevant residence provider. Where there is any inconsistency, the residence provider’s accommodation terms applicable to the booking shall apply to the operation of the residence.

Changes After Arrival

Requests to change accommodation after arrival are considered at the College’s discretion and are subject to availability. A change cannot be guaranteed and may incur additional accommodation charges or administration fees where applicable. Any replacement accommodation will depend on availability at the time of the request.

Accommodation Provider Rules

Students are responsible for complying with all reasonable accommodation rules issued by the accommodation provider, including health and safety requirements, visitor policies, noise restrictions, cleaning responsibilities, fire safety procedures and check-in/check-out requirements.
Students are responsible for any loss, damage, additional cleaning charges, replacement of keys or access devices, or other costs resulting from their actions or those of their guests during their stay. Any such charges imposed by the accommodation provider may be passed on to the student.

Personal Belongings

Students are responsible for their own personal belongings during their stay. City College Dublin and accommodation providers accept no responsibility for loss, theft or damage to personal property except where required by applicable law. Students are encouraged to obtain appropriate travel and personal possessions insurance.

Removal from Accommodation

The College or accommodation provider reserves the right to remove or relocate a student from accommodation where their behaviour is deemed unacceptable or where continued occupation would adversely affect other residents or the accommodation.
This includes, but is not limited to:
Where appropriate, the College may arrange alternative accommodation; however, this cannot be guaranteed. Any additional costs arising from relocation or removal will be the responsibility of the student.
Students removed from accommodation due to unacceptable behaviour may not be entitled to any refund of accommodation fees.

Accommodation Changes by the College or Provider

In exceptional circumstances beyond the College’s reasonable control, including maintenance issues, health and safety concerns, operational requirements or circumstances affecting the accommodation provider, the College reserves the right to relocate a student to comparable accommodation where reasonably possible. Such relocation shall not constitute grounds for cancellation or refund provided suitable alternative accommodation is offered.

Force Majeure

The College shall not be liable for any delay, cancellation or inability to provide accommodation where such circumstances arise due to events beyond its reasonable control, including but not limited to natural disasters, public health emergencies, government action, fire, flood, industrial disputes or other unforeseen events. Where reasonably possible, the College will endeavour to arrange suitable alternative accommodation.
